How to create a webinar in Teams (with a registration link)

Step 1: Create the webinar

  1. Open Teams and select Calendar.
  2. Select the arrow next to New meeting, then choose Webinar.
  3. On the Details page, enter the Title, Start and End date/time, and time zone.
  4. Add a Description (agenda, who it's for). This text appears on the registration page.
  5. Add Co-organizers and Presenters (in-org or out-of-org). They get their own join link and don't register.
  6. Under attendance, choose who can attend:
    • In your org — only LegalEASE accounts can register. Use only for internal-only events.
    • For everyone — anyone with the link can register. Select this option (default for this guide).
  7. Make sure Require registration is on.
  8. Select Save (or Save and send invites for co-organizers/presenters).

Step 2: Set up registration

  1. Open the webinar and go to Registration > Configuration.
  2. Set Registration capacity if you need a cap (turns on a waitlist in Teams Premium).
  3. Under Registration form, keep the default fields (first name, last name, email) and add any custom questions, such as job title or company.
  4. Optional: set a registration close date and time.
  5. Go to the Emails tab to review the confirmation and reminder emails Teams sends registrants. Leave them on so each attendee gets their personal join link.
  6. Select Save.

The registration link only works after the event site is published.

  1. Select View site to preview the registration page. Check the title, time, description, and presenters.
  2. Select Publish site, then confirm.
  3. Select Copy registration link (on the webinar's Details page once published).
  4. Test it in an InPrivate window or with a non-organizer account. You should see a Register button, not Join.

Step 4: Send the invite

Share the registration link, never the meeting join link. Each registrant receives a unique join link by email after they register.

  1. In Outlook, create a new email (or post in Teams, your website, or a newsletter).
  2. Paste the registration link, ideally behind button-style text like Register here.
  3. Include the title, date, time with time zone, a one-line agenda, and who should attend.
  4. BCC recipients when sending to a large or external list.
